Compensation: Job Band: 08N $62,693 – $90,278 Hiring Range: $63,000 – $74,000

Trinity College is a vibrant and diverse academic community with a rich history and an excellent local and international reputation. The College is the smallest college on the St. George Campus of the University of Toronto, located in the central Toronto downtown core, steps from the Bloor – St. George subway station and Queen’s Park.

Position Summary:

The Administrative Assistant provides primary administrative support for the International Relations (IR) and Ethics, Society and Law (ES&L) programs and serves as the first point of contact for students, prospective students, faculty, scholars, alumni, community partners and other administrative staff at Trinity College and the University of Toronto. The role manages admissions and program administration, maintains course and degree records across University systems, supports online course delivery, and coordinates graduation approvals. Working closely with the University of Toronto Faculty of Arts & Science, the position also supports budget administration, space planning, and program initiatives, while advising students and alumni on admissions, degree requirements, and experiential learning opportunities.

Key Responsibilities:

Student Advising and Support

  • Serve as the first academic key contact for undergraduate students, providing holistic, student‑centred guidance on program and course requirements, academic progress, petitions and appeals, graduation eligibility, and policy interpretation, while considering individual circumstances affecting student success.
  • Support student through advising and case management, including identifying academic risk, monitoring progress, documenting advising interactions, and connecting students with appropriate academic, learning, and wellbeing supports.
  • Assess academic eligibility and progression matters in collaboration with faculty and registrarial partners, including admissions to limited‑enrolment programs, transfer credit and course substitution requests, petitions, and degree completion, and communicate outcomes clearly to students and stakeholders.
  • Advise and support students’ experiential and co‑curricular learning, including study abroad, community‑engaged learning, co‑curricular record validation, student leadership, and work‑study employment, referring to specialized offices as appropriate and supporting skill development and career readiness.
  • Contribute to a supportive academic community by liaising with faculty, student societies, and university partners; supporting student‑facing initiatives and events; supervising student employees; and serving as a key resource on student advising systems and practices.

Program Administration

  • Provide comprehensive administrative support for academic programs by coordinating curriculum development and renewal processes, supporting program planning and implementation, and ensuring alignment with faculty, college, and university policies and governance requirements.
  • Support the effective delivery and continuous improvement of program operations through course scheduling, enrolment planning, academic reporting, and the maintenance of accurate program information across university systems, calendars, and publications.
  • Manage program information, records, and communications by overseeing program websites, internal documentation and record‑keeping systems, and mailing lists, and by supporting clear, consistent communication with students, faculty, alumni, and institutional partners.
  • Administer program resources and staffing, including budgets, awards and scholarships, work‑study staffing, payroll coordination, space allocation, and related financial processes, ensuring accountability and compliance with institutional guidelines.
  • Support program visibility, quality assurance, and community engagement by contributing to events, recruitment and outreach initiatives, alumni relations, donor reporting, and cyclical quality assurance reviews, in collaboration with academic leadership and central offices.

Faculty and Leadership Support

  • Provide administrative and technical support to faculty and teaching staff to support course delivery, including syllabus compliance, learning platforms, classroom technology, and onboarding of new or visiting instructors.
  • Provide administrative support to Program Directors and Associate Directors, including correspondence, scheduling, meeting preparation, documentation, and liaison with academic and administrative units.

Other Responsibilities

  • Stay abreast of changes to university systems, policies, and best practices, and contribute to coordinated program administration through participation in institutional forums and initiatives.
  • Perform other duties in support of program and institutional priorities, as assigned.

Educational and Experience Requirements:

  • Post‑secondary degree or diploma.
  • Minimum of three (3) years of directly related experience in an academic department, or an equivalent combination of education and experience.

Skills and Attributes:

  • Strong organizational, communication, and analytical skills, with the ability to manage competing priorities in a fast‑paced academic environment.
  • Demonstrated professionalism, sound judgement, discretion, and ability to handle confidential information.
  • Ability to work independently and collaboratively with students, faculty, and administrators.
  • Proficiency with Microsoft Office and institutional systems; experience with student records, enrolment, and learning management systems is an asset.
  • Knowledge of academic policies and degree requirements, or the ability to acquire this knowledge quickly; knowledge of the University of Toronto is an asset.
